Microsoft used to provide a simple solution to view the diaries of member's of your team called Outlook Team Diaries. However it has now been discontinued (info here).
This solution is designed for four or five people. If you want to view more people than this then you should look to an alternative solution, or just open the other diaries in the conventional way.
The feature is called Outlook Team Diaries and consists of a single HTML page. You can download it from here. You will need to extract this file in to it's own folder.
Microsoft have written full instructions on how to install it as part of the html file. These instructions are reproduced here, with some re-wording to clarify a number of points about the process.
Setting Up the Team Calendar
To setup the Team Calendar do the following:
- First you should save the html page - "teamcal.htm" - somewhere onto your hard disk, e.g. C:\My Documents\teamcal.htm.
- Create a new Outlook subfolder. This can be in any location - for example you could create it as a subfolder of your mailbox's calendar folder although you may prefer not to create a subfolder, instead having a new main calendar folder. You can use any name you like, but something with your team's name would be a good idea. When creating this new folder it needs to of type "calendar" (contains appointment items). Don't use public folders, use your own directory structure under "Outlook Today"
- Once you have created the new folder, right-click, choose "Properties" and activate the "Home Page" tab. Use the "Browse..." button to choose the file "teamcal.htm" from the location where you saved it in Step 1. Also check/tick the "Show home page by default for this folder" checkbox.
- Use the Personalize button on the folder homepage to define your own title message, refresh properties, filters and the days you want to look ahead.
- Define your team members - should options be required, then you will be asked to install them. Each person who you would like to see their calendar needs to grant you permissions to do so. Follow the instructions below.
Whenever you change your team members or filter preferences the page will refresh automatically after saving the changes with the "Save" button.
Granting Access Permissions to your Outlook Calendar.
- Right click on your Calendar and choose properties.
- Choose the tab "Permissions". If you cannot see Permissions then you are not online.
- Click Add and choose the people from the list who you want to see your diary.
- You now need to assign them permissions. You can either choose one of the pre-defined roles, or create your own. Depending on your version of Outlook the predefined roles are:
- Contributor - can add items but cannot see anything. This is fairly restricted.
- Reviewer - can see everything but cannot add, change or delete any entries.
- Non editing Author - can see everything and can add entries. Cannot edit the entries once they have been made.
- Author - can create new entries. Can also work with entries they have created themselves, delete, modify etc.
- Publishing author - as author, but can create sub folders.
- Editor - can work with all items including creation, modification and deletion of any items in the folder
- Publishing editor - as editor but can create sub folders.
- Owner - can do everything, including assign permissions. This is the default state for the main user of the folder.
- Once you have set the permissions to your liking, press Apply and then OK to exit.
