Deleting Emails From Outlook Author: Simon Butler, Exchange MVP, MCSE
When you delete an email in Outlook, it is sent to the Deleted Items folder. This is like the recycle bin on your desktop. There are a number of ways that you can delete messages, notes and other data from the "Deleted Items" folder within Outlook.
- Delete each item individually, i.e. select and then press delete.
- Use the shift key to select a block of items to delete. You select the first and last item to delete.
- Use the control key to select certain items. This is useful if you want to delete items 1, 3, 5 etc.
- If you want to delete everything in the deleted items bin, you can right click on the deleted items folder and select Empty Deleted Items option. This option can also be found under the tools menu.
If you are not connected to a Microsoft Exchange Server this permanently deletes the item. There is no way of getting it back.
If you are fortunate enough to be connected to an Exchange Server, you maybe able to use the "Recover Deleted Items" feature. See this page for information on using this capability.
It is also possible to set Outlook to clean out your deleted items directory when you close Outlook. This option can be set in Outlook main options, under Other - General. This option should be used with care, as each time you exit Outlook, anything in the deleted items folder will be deleted. If you frequently delete things in error, then this option is not for you.
